• Visioffice System FAQs

What is the Visioffice® system?

The Visioffice system is a patented, state of the art measuring device providing dispensers and eyecare professional with a fast, accurate way to measure patient fitting parameters critical to the next generation of lenses.

The Visioffice system takes all of the standard measurements:

  • Interpupillary distances
  • Fitting heights
  • Pantoscopic tilt
  • Vertex distance
  • Frame wrap
  • Frame measurements (A, B, DBL)

Plus Essilor exclusive measurements:

  • Behavior measurements (Head / Eye Ratio and Stability Coefficient) for Varilux Ipseo IV™ lenses
  • Exclusive eyecode™ lens measurements: eye rotation center and natural head posture

How does the ECP order the Visioffice system?

The ECP must complete and sign the Visioffice contract including the checklist. The ECP would then submit the information to the Visioffice Equipment Group in one of two ways:

What is the process to install a Visioffice system?

After the receipt of a completed and signed contract, as well as the completed 4 page checklist there are 5 steps to install the Visioffice:

  1. 1. The Visioffice Equipment Group verifies all the information in the contract is accurate and checklist has been completed and received.
  2. 2. The Finance group screens the customer to verify credit.
  3. 3. The Visioffice Equipment Group schedules the installation with the contact name at the account provided in the contract.
  4. 4. The account's Brand Sales Consultant (BSC) is notified of the installation date. This ensures that the BSC can train the account on the products (Varilux Ipseo IV, eyecode, etc.) either before or after the installation of the Visioffice.
  5. 5. The Visioffice is installed at office on the assigned date.
How long does the process take?

Based on the location of the practice and the practice's schedule, the installation occurs between 4-6 weeks from the time the completed and signed contract is received by the Visioffice Equipment Group.

Who trains the ECP on how to use the Visioffice system?

The installer will train the ECP and the staff on the Visioffice. It is highly recommended that the ECP's sales consultants attend the training.

What are the benefits of the Visioffice system to patients?

The Visioffice is an all-in-one system to take patients through the entire dispensing process, from frame selection to measurement to sales support.

Patients can see the features and benefits of premium designs, materials and lens treatments through interactive videos available on the Visioffice system.

Does the Visioffice system need to be recalibrated from time to time?

No, the calibration remains stable and reliable.

Is it possible to attach the touch screen on the right or left side of the column?

Yes, you can choose the orientation of the screen to suit your needs.

Does the Visioffice system need to be connected to the internet?\

Yes, to send orders and to receive periodic updates this is necessary.

Is any additional equipment needed?

No. The purchase includes everything the ECP needs. However, the ECP may wish to purchase a color photo printer, if he or she prefers to print color photo copies of patients frame selection.

How do I get replacement frame clips?

Replacement frame clips are available from the Visioffice Equipment Group (877-457-3760 ext. 3):

  1. 1 clip - $50
  2. 2 clips -$90

Can I view the Visioffice system software on my office computers?

Yes, with the purchase of a USB attachment called the Client Dongle you can view patient files; product demonstrations; and patients can take the Lifestyle survey. Contact the Visioffice Equipment Group (877-457-3760 ext. 3) for more information. Each computer requires a Client Dongle. The cost is $250 per Dongle.

Measurements

When measuring, what is the best patient position?

There is no difference between measuring in standing or sitting position. What is important is a natural and relaxed posture from the patient. With the tabletop, an adjustable stool is the best choice to get the most natural posture.

What is the level of accuracy for the Visioffice system?

The Visioffice system is the most accurate measurement device on the market. Tests have been completed showing a high level of reliability and repeatability of the results.

What are the main conditions to get the most accurate results?

The following factors are very important:

  • Good indirect lighting conditions in the practice (to avoid unnecessary glare)
  • A properly pre- adjusted frame PRIOR to taking the measurement
  • Natural posture of the patient (watch for leaning or patient swaying)
  • Adjust the clip so the small sharp cone of the clip is well positioned in the center of the bridge of the frame. (refer to graph on screen)

Frame Measurements

What are the key steps to consider before taking all measurements?

  • ALWAYS Pre-Adjust the frame
  • Check the position of the nose pads
  • ALWAYS remove lenses
  • BOTH RIMLESS and FULL frames can be used. Rimless frames with non-Rx lenses are acceptable.
  • Verify the clip is centered on the frame
  • Verify the patient's hair does NOT block any clip sensors/markers

How do I know where the patient needs to stand?

You can check the patient's position with the provided green target box on the screen. Avoid having your patient lean in order to have them within this target. This will negatively affect measurement results. NOTE: You do not have to have the patient exactly in the center of the target box to measure properly.

Compared with measurements from the pupillometer, why is there so much difference between monocular PD of RE and LE (nose pads vs nose)?

PD's measured with pupillometer are based upon references that take into account the center of the nose bearing of the pupillometer device. If the frame has adjustable pieces on the nose, then the center of the bridge of the frame does not correspond to the center of the nose of the patient. The useful result is therefore the center of the bridge of the frame, which gives the best position of the lenses for the edging process.

Is it mandatory to adjust the A and B boxing to get the calculation of the PD?

Yes it is mandatory to get the proper value for the half PD's as the bridge position affects the result. It has no effect on the total PD value.

How is the pantoscopic tilt value obtained?

The tilt value is provided thanks to the position of the clip (“unicorn” marker of the clip).

How are the Vertex Distance and Wrap values obtained?

The calculation is based on stereoscopic principle: 2 angles of view (front / three quarter view) of the frame provide an equation which allows for the calculation of the angle and depth.

Behavior Measurement

Are the “Head/Eye Ratio” and “Stability Coefficient” the same values obtained from the VisionPrint™ System (VPS)?

The calculation and the measurement process are the same: the patient looks at 25 randomized lighting diodes. The way to capture the movement is different: on the VPS it is done through ultra-sonic system – on Visioffice, it is done thanks to the detection of the clip.

Does the angle of the Visioffice system used to measure the Varilux Ipseo IV™ lens affect the results of the Head/Eye Ratio? (If one side is higher/lower than the other.)

No, it does not change the value if arms are slightly off horizontally (tolerance +/- 10°). Each diode at the end of the arms has to be seen at +/-40°, with accuracy better than +/-2°.

Miscellaneous

Can the Visioffice system be used to measure non Essilor lenses?

Yes, the Visioffice system can take the measurements needed for all lenses. However, the Visioffice is the exclusive device capable of measuring individualized progressive lenses such as Varilux Ipseo IV™ and eyecode™ lenses.
